TITLE:            Administrative Assistant/Academic Support   

 

QUALIFICATIONS:

1.        High school diploma or GED required.

 

2.        Shall have at least five years of experience in a responsible administrative secretarial position.  (Education or training beyond high school may be substituted for experience.)

3.        Bilingual – oral and written.

4.        Shall have knowledge of business English, spelling, math, modern office equipment, business practices and procedures and software applications.

5.        Shall have the ability to work and communicate effectively with community, Board, students and staff members.

 

CHARACTERISTIC DUTIES:

Assists the Academic Support Director in coordinating the District Supplemental Educational Services Program.

 

Responsible for processing all required District and School Improvement letters.

 

Completes residency verifications in conjunction with the District Attendance Officer.

 

Works with the Student Data Coordinator in assisting all District registrars with required duties and responsibilities.

 

Assists in distribution and collection of all District Testing materials.

 

Keep records regarding McKinney-Vento homeless students and completed required reports for ADE.

 

Assists the Academic Support Director with implementing the district dental plan for homeless students.

 

Assists the Academic Support Director in compiling ADE Cycle Monitoring materials.

 

Assists the District Executive Secretary as necessary.

 

Receives and screens telephone calls, visitors and incoming correspondence; assists visitors or caller by answering questions or providing information regarding office/department policies or procedures.  Determine when referral to supervisor, appropriate staff member or other office is appropriate.

 

May compose, edit, type and proof correspondence, reports and other confidential documents; research and verify information for reports and special projects.    May prepare and sign routine correspondence in own or supervisor’s name according to established guidelines.

 

Schedules tentative appointments without prior clearance.  Makes arrangements for meetings, conferences and/or student assemblies if applicable.  May attend meetings and record and report on the proceedings.

 

Maintains accurate office records, including budget information, employee time and absence records, purchase orders, statistical information, etc.  Initiates requisitions, work orders and travel requests.

 

May, train, direct and coordinate the activities of other employees.

 

Performs other related duties as required by supervisor.

Work year, salary and benefits as established by the Board.

 

EVALUATION:

 

Performance of this job shall be evaluated by the Academic Support Director in accordance with provisions of the Board's policy on evaluation of classified personnel.
